OEX Internal Accounting Integration
Privacy Policy
Last updated October 14, 2026
Purpose and scope
Office Express (OEX) maintains OEX Internal Accounting Integration for authorized internal accounting work involving Office Express and YTI Office Express. The integration uses n8n Cloud to read customer payment terms from QuickBooks Online and compare them with corresponding business records in SmartSuite.
This policy explains how information is handled in that workflow. It is published to support the integration’s Intuit application registration and to provide an ongoing point of reference for its users and administrators. The integration is not offered for public signup.
Information handled
The integration handles customer payment terms and the customer and company information needed to identify and match business records. Retrieved customer records may include business contact details and other fields returned with those records. It also uses OAuth authorization tokens and connection information to access approved company accounts.
Saved workflow executions and reconciliation records may contain retrieved business data, comparison results, timestamps, and diagnostic errors.
How information is used and shared
Information is used for internal reconciliation, identifying discrepancies, and operating, supporting, and troubleshooting the integration. Office Express uses this information for its own business purposes, not on Intuit’s behalf. Integration data must not be sold, used for advertising, or disclosed for unrelated purposes.
QuickBooks Online, n8n Cloud, and SmartSuite handle information within their respective services. Authorized Office Express and YTI Office Express personnel may review information needed for their work. Information may also be disclosed when required by law.
Storage and retention
Information may remain in source systems, SmartSuite reconciliation records, and n8n Cloud execution history. Connection credentials remain in the configured credential service until removed or replaced. Execution-history retention depends on the service plan and configured settings.
Retention must be limited to what is needed for the authorized accounting workflow, troubleshooting, and applicable recordkeeping obligations. Different types of records may have different retention periods. Contact the administrator below for the retention arrangements applicable to a particular record or to request deletion.
Access and security
Access is limited to authorized users and administrators. Users must protect their accounts and credentials and report suspected unauthorized access. The connected services provide their own security controls; no method of electronic storage or transmission can guarantee absolute security.
Disconnecting and requesting changes
An authorized QuickBooks company administrator can revoke the integration’s authorization through Intuit. Contact the administrator below to stop the associated workflows and address retained integration data. Removing a credential from n8n alone does not revoke the authorization held by Intuit.
After authorization is withdrawn, access and processing under that authorization must stop. Disconnection does not automatically erase source-system records or previously retained copies. Requests for access, correction, or deletion are handled subject to verification of the requester’s authority and applicable legal recordkeeping requirements.
