What is actually included in this quote versus what becomes an add-on later?
Delivery, installation, custom electrical or data cutouts, and warranty terms have a slippery way of showing up as surprise line items after the fact if you don't ask up front.
If you are weighing a modular furniture solution against a construction-based fix (like building permanent drywall), ask your vendor for a transparent comparison. A good partner should be able to walk you through the true cost and timeline of both options honestly, rather than just selling you a product in a vacuum.
Is this piece solving one problem, or several?
If a vendor tells you a product is a magic bullet for acoustic privacy, collaboration, and aesthetics all at once, don't just take their word for it. Ask them to show you how it performs on each metric.
A real solution should come with a specific explanation of how it fits your team's unique daily workflows, not a generic pitch.
What does this look like after 3+ years of daily use?
What a piece looks like in the showroom and what it looks like after three years of coffee spills, heavy leaning, and being moved around are two entirely different things. Ask for honest answers about the realistic lifespan of the materials under heavy commercial wear.
Beyond durability, ask about flexibility: Can this piece be reconfigured if our department layout changes? Can it be easily repurposed or resold? Or are we stuck with it? Furniture that only works for one exact moment in your company’s lifecycle is a much riskier investment than it looks on paper.
What do your sustainability claims actually mean in practice?
"Sustainable" is a word that gets thrown around loosely on showroom floors. When a vendor says "Sustainable," ask if they mean:
Recycled Content: Is it made from post-consumer materials?
Manufacturing Process: Was it produced locally or with a low carbon footprint?
End-of-Life Plan: Can the pieces be broken down and recycled later, or is it destined for a landfill?
What would you NOT recommend for our specific situation?
Ask your vendor what popular, trending items they would actively advise you against buying. Just because a layout or a specific acoustic pod is everywhere online doesn't mean it aligns with your space, your culture, or your budget. A vendor who is willing to talk you out of an expensive mistake is someone worth trusting when they finally do recommend a piece.
